Division 03 · HR & Administrative Solutions

What HR & Admin means for your business

In a small company, HR is rarely a department. It is whoever happens to be free: an office manager, a finance executive, the founder at ten at night. The work still has to be done correctly, because the documents, records and routines created in the first few years become the foundation for everything that follows.

Omnisphere's HR & Administrative Solutions division helps businesses build that foundation as a set of clear processes and well-organised documents. We prepare templates and working drafts, design onboarding and leave workflows, tidy payroll preparation routines, structure personnel records, and automate the administrative chores that consume the hours of the people in charge.

A note on scope. We are business-process and systems advisers. We are not a law firm, an employment agency or a licensed payroll agent, and we do not give legal advice. Where a document or decision has legal consequences, we recommend your own legal or HR professional reviews it, and we are glad to work alongside them so that the process around the advice runs smoothly.

Who this is for

  • Businesses hiring their first employees or expanding past the point where informal arrangements work.
  • Founders and office managers who handle HR alongside many other responsibilities.
  • Companies whose onboarding differs from one new hire to the next.
  • Teams that prepare payroll inputs from scattered attendance, leave and claim records.
  • Firms that want personnel records in order before an audit, a financing conversation or a review.

The problem

What businesses typically run into.

Problems
  • Inconsistent documentation

Employment documents are created from old files, copied from other companies or written under time pressure. Terms differ between similar roles, and gaps appear only when a dispute or question arises.

  • Onboarding depends on who is available

New starters wait for equipment, accounts and introductions. Managers improvise, and the first week leaves a mixed impression of the company.

  • Payroll inputs arrive late and incomplete

Leave, overtime, claims and changes in status reach whoever prepares payroll in different formats and at different times. Corrections consume time and trust.

  • Records are scattered

Personnel information sits in email attachments, shared folders and personal drives. Finding a signed document or checking a history takes longer than it should, and access is poorly controlled.

  • Administrative work crowds out people work

Chasing approvals, updating trackers and sending reminders take the time managers would prefer to spend on coaching, planning and retention.

How Omnisphere helps

How we address it.

How we help

Map the employee lifecycle

We begin by tracing each stage from hiring to exit, noting where documents are created, who acts, and where information is stored. That map shows where processes are missing, duplicated or at risk.

Standardise what should be standard

We establish consistent templates, checklists and naming so that routine matters are handled the same way each time, while leaving room for the judgement that individual cases need.

Respect the line between process and advice

We build the workflows, drafts and systems. Interpretation of employment law, statutory obligations and contract terms belongs with qualified professionals, and we say so plainly at each relevant step.

Protect personal data

Employee information is sensitive. We design record-keeping with access limits, sensible retention habits and awareness of PDPA expectations, and suggest professional review for formal compliance.

Automate the chores, not the care

Reminders, form routing and record updates can run themselves. Conversations about performance, wellbeing and development stay human, and the time saved is meant to make room for them.

Capabilities

What HR & Admin includes.

Capabilities
  • 01

    HR process support

We document and refine the routines that make up everyday HR: recruitment steps, probation reviews, leave requests, performance check-ins, and exit procedures. The result is a clear playbook with responsibilities, timing and templates, so managers know what to do and employees know what to expect.

  • 02

    Employment document preparation

We prepare working drafts and templates for common employment documents such as offer letters, role descriptions, handbook sections, policy outlines and acknowledgement forms, based on the information and decisions you provide. These are drafts for organisation and consistency. We recommend that your legal adviser or qualified HR professional reviews them before use, as the terms may carry legal effect.

  • 03

    Payroll workflow support

We design the flow of information that feeds payroll: how attendance, leave, claims and changes are collected, checked, approved and handed to whoever processes salaries. This includes checklists and cut-off routines that reduce last-minute corrections. We do not act as a payroll agent or calculate statutory contributions on your behalf; processing remains with your payroll provider or internal team.

  • 04

    HR administration

We organise the paperwork that sits behind the workforce: personnel file structures, document checklists, contract and renewal trackers, probation and review calendars, and asset or access registers. A tidy system reduces hunting for documents and helps ensure that important dates are not missed.

  • 05

    Employee onboarding workflows

We design a repeatable onboarding journey that starts when an offer is accepted and continues through the first months. It covers paperwork, equipment and accounts, introductions, training milestones and manager check-ins, with owners and timings for each step. The workflow can be run through checklists or built into digital tools.

  • 06

    Administrative automation

Working with our IT division, we automate routine admin: leave and claim approvals, reminders for document expiry and review dates, onboarding task assignment, and updates between HR records and other systems. Each automation includes approval points and a record of what happened.

Typical engagements

Situations we are often asked to help with.

These are illustrative scenarios, not client case studies. They describe the shape of the work we typically take on.

Scenarios

First hires in a young company

A start-up has just taken on its first handful of employees. Each hire was arranged informally, and no two arrangements are documented in quite the same way.

What we would do: We set up a consistent file structure and a set of template drafts, create a simple hiring checklist, and organise the review of those templates by the company's own legal or HR adviser.

An onboarding process that depends on luck

A growing retailer opens new outlets frequently. New staff sometimes arrive before their uniforms, system access or training schedule are ready.

What we would do: We map the steps across HR, operations and IT, assign owners and lead times, and build a shared checklist with automatic reminders so each outlet manager can see what is outstanding.

Month-end payroll scramble

A professional practice collects leave and claims by email, and the person preparing payroll spends the final days of each month reconciling them.

What we would do: We introduce a single submission route, approval rules and a cut-off calendar, and produce a clean summary for the payroll provider. Salary processing itself stays with the provider.

Records ahead of a review

A mid-sized business expects scrutiny from a prospective investor and wants confidence that its personnel records are complete and findable.

What we would do: We audit the file structure against a checklist, identify missing or inconsistent items, and organise a remediation plan, referring any legal questions to the company's advisers.

Our process

How a HR & Admin engagement runs.

Process
  1. 01

    Listen and map

We learn how people are hired, managed and paid in your business today, and which tasks consume the most time or cause the most concern.

  2. 02

    Prioritise

We agree which processes and documents matter most, and which questions need to be passed to your legal, tax or HR advisers.

  3. 03

    Draft and design

We prepare workflows, checklists, templates and any system configuration, and review them with you and the people who will use them.

  4. 04

    Professional review

Documents with legal or statutory implications are put forward for review by your own qualified adviser before they are adopted.

  5. 05

    Roll out and refine

We train the team, support the first cycles of use, and adjust the processes based on what actually happens.

The kind of result to expect.

We do not promise figures. Results depend on your starting point, so we agree what success looks like before work begins.

  • A consistent, documented approach to hiring, onboarding and everyday HR matters.
  • Personnel records that are organised, findable and appropriately restricted.
  • Cleaner inputs to payroll, with fewer late changes and corrections.
  • New starters who experience a prepared and welcoming first period.
  • More time for managers to spend on people, not paperwork.

Questions we hear most.

No. We are a business solutions firm. We design the processes and systems around payroll and HR administration, but we do not process salaries, act as a licensed payroll agent, or place candidates.

No. We are not a law firm and do not give legal advice. We can help prepare drafts and organise documents, and we recommend that a qualified lawyer reviews anything with legal consequences.

We access only what is needed for the agreed work, and we discuss data handling and access arrangements before we begin. Your own obligations around personal data should be confirmed with a qualified adviser.

Usually yes. We design workflows around the tools you already use and, where it helps, connect them. If a different tool would better suit the business, we explain the options before any change.

Yes. Small teams often feel the effects of informal arrangements most sharply, and getting the basics right early prevents much larger clean-ups later.
